Organisations are constantly changing and eBIS can quite easily get left behind. Staff turnover can result in knowledge leaving the business. You want to create special routing for that new department that doesn't quite fit the current structure, but don't know how ? Please see below!



eBIS routing. As organisations evolve, routing of documents for approval can quickly become outdated. Approval routings do not need to be dependent on departments. If, for example,  different suppliers or products need to be approved by different users, this can be achieved by incorporating "exception" routing.


Approve without logging in? Emails can be created which contain a link to approve or reject the document directly from the email, without the need of the recipient to log into eBIS at all.  The email can contain as much or as little information from the original form, and can also have attachments.


New eBIS Forms. More and more organisations are using the eBIS approval flows for forms other than Purchase Orders & Invoices. New Supplier accounts, Journals, Sundry Payments etc, as well as your own paper forms can be routed through eBIS to provide an audit trail and ensure appropriate controls are in place.


Report Writing. Table Queries can be created in OpenAccounts to report on the forms raised in eBIS. A useful way to record the number of documents going through eBIS, as well as spotting any users causing bottlenecks in the workflow.


GRN Reminders. Accounts payable continually asking the business to GRN a PO so the invoice can be processed? Set up GRN Reminder emails so the raiser of the PO is notified automatically of overdue GRN's. They can even be informed of expected upcoming deliveries.


Profiles. Creating user profiles not only reduces the amount of time required to set up a new user, it is also an import control tool where you can ensure a user cannot raise AND approve a form themselves.
